Our agency is led by Damien Simone who has worked in the property industry locally for nearly a decade and is credited with being one of less than 30 letting agents nationally to have fully attained the National Federation of Property Professionals diploma in Residential Lettings & Property Management.

Should repairs or maintenance be required on your property, we will only use qualified and reliable local contractors, who the Directors of Malcolm James Property Rentals have dealt with in the past and can endorse personally.

Please be aware that unlike many other letting agents, here at Malcolm James Property Rentals we do not add an “additional percentage” charge to the cost of works that are required to your property, or receive any other kind of financial incentive from the contractors that we employ, as we believe that this would be a liberty and unfair.

At Malcolm James Property Rentals we want each of our landlords to feel like number one and not just one of a number, so we are more than happy to tailor the services we offer to each of our clients’ specific needs and requirements. However, below is a brief outline of what is included as standard in each of our lettings packages:


Full Management Service:

  • Free personal inspection of your property by an experienced ARLA qualified Lettings Consultant and written rental valuation.
  • Clear, practical advice on how best to market your property and your obligations as a landlord.
  • Arrangement of an Energy Performance Certificate (EPC) if required.
  • Advertising of your property. We advertise in the local press (including Friday’s Lynn News) as well as on our own website and www.rightmove.co.uk.
  • All viewings undertaken and initial interviewing of suitable prospective tenants.
  • Full references taken up on tenants including previous landlord/ managing agent, employer’s and full credit check.
  • Automatic inclusion within the Rent Guarantee and Legal Expense Protection Scheme for the first 6 months. (subject to references & terms)
  • Preparation of the Tenancy Agreements and other legal documentation as required.
  • Preparation of a comprehensive schedule of condition/inventory which includes photographs detailing the condition of each area of the property.
  • Notification to all utility companies connected with the property of the latest meter readings and the new tenants’ names.
  • Collection of the monthly rent.
  • A security deposit (A sum equal to rent + £100) plus £100 extra if pets allowed.
  • Payment of rent to your chosen bank account within 2 working days of us receiving it.
  • Collection and holding of the dilapidations deposit and automatic inclusion into a deposit scheme.
  • Arranging any necessary maintenance to the property as agreed with the Landlord and deducting the cost from rent received.
  • Submission of a monthly statement of account to landlord with copies of any maintenance invoices/deductions.
  • Automatic instruction of annual gas safety inspections or servicing.
  • Internal property inspections initially every 3 months. 6 monthly visits for long term (approved) lets.
  • Written reports following the inspection of your property which includes photographs to keep you appraised of your property’s condition.
  • A thorough final inspection at the end of each tenancy using the original inventory.


All of the items above are included as standard within our Full Management Service. There is no initial set up or contract fees for this service. Thereafter we charge an agreed percentage of the collected monthly rent. This is currently 10%+ VAT and is payable on the rent collected per calendar month (pcm). Otherwise, “NO LET, NO FEE”.


Tenant Find Only Service

This service is offered to landlords who prefer to manage their own property and a one off fee is charged which is deducted from the first month’s rent. An agreed % of the first months rent collected, charged + VAT. All properties are advertised on a “NO LET, NO FEE” basis.

  • Collection of the first month’s rent and damage deposit, whereupon the landlord takes over the management of the property and all monies collected by ourselves will be forwarded to the landlord less our agreed fees.
  • A security deposit is collected and must be legally deposited with a legitimate and recognised Deposit Protection Scheme (DPS) organization!


Rent Collection Only Service

This service is only offered to professional landlords and carries a 5%+vat charge for the monthly collection and depositing of rent, per calendar month.
